About the Job

This is a virtual position and we make heavy use of some of the best technology in the tax field, including zoom video meetings, client portals, workflow tracking, electronic signature, and electronic payment. While we work remotely, we also keep regular, predictable hours while allowing flexibility. Bechtel CPA is growing quickly through the strength of our client referrals and we are looking for individuals that are ready to go along for the ride.


  • To manage the internal operations of the CPA practice for the owner
  • Know what the owner’s short term (1year) goals and long term (10 year) goals are – and help generate plans of action to achieve them
  • Track all work in the office, ensure it is assigned to the appropriate team members and that they are aware of due dates/priorities to deliver the work to clients;
  • Recruiting of Staff – at least up to final interview stage
  • Onboarding of new staff
  • Administration of Health plan and other employee benefits
  • Handling any staff issues with office policy
  • Conduct Staff Performance evaluations in conjunction with Owner (billable staff)
  • Increase efficiency by streamlining systems to save time, introducing new policies as needed, to ensure that billable staff are maximally billable throughout the day;
  • Creates agenda for staff meetings
  • Arrange and ensure all staff and owners are up to date with Continuing Education requirements
  • Organize and ensure internal training e.g. group training is being done
  • Go to person for handling all technology issues, in conjunction with Firm’s IT Consultant/support
  • Keep track of Subscriptions to various technologies and ensure they are either continued or discontinued, as appropriate
  • Oversee any upgrades needed of office equipment
  • Assist in putting in systems, documenting processes and streamlining how things are done to save time.
  • Check in on team to see what’s holding them up on certain projects
  • Responsible for keeping vacation logs, health insurance renewal, office policies etc.
  • Responsible for client communications – updating them on important deadlines throughout the year, newsletters etc.
  • Ensures clients are billed timely
  • Collect any outstanding bills owed to the firm
  • Assist accountants to get information needed from clients to complete their work
  • Assist accountant in printing reports
  • Act as personal assistant to owner in relation to keeping her organized so she can meet client demands and do business development
  • Internal public relations – organize client and staff appreciation events
  • Marketing – handles and/or delegates some of the handling of marketing campaigns the practice is engaged in.
  • Answer the phone with a smile.
  • Handle as many phone inquiries from clients, without interrupting owner/billable staff, where possible

Tax Assembling/delivery/efiling/mailing

  • Responsible for e-filing authorizations
  • Filing of tax returns
  • Ensure no return is filed or handed over to client without payment
  • Handle rejects as necessary and with the assistance of the CPA when needed.

Job Qualifications

  • 5+ years administrative experience
  • must have high school diploma
  • 3+ years excel experience
  • has exceptional attention to detail
  • must be able to work during the day
